Donation / Solicitation

Responsibilities: Collecting donations of auction items and program advertisement, and involves following up on letters sent to area businesses and picking up donations when necessary.

When: November to January

Time Commitment: A few hours each month –you determine your level of involvement. We have many businesses to contact. You can choose geographic area and number of businesses you wish to contact. An information packet will be provided.

Student Outreach

Responsibilities: A new committee this year. Students and parents work together on this committee, soliciting donations from band members. These donations should be “crafted” or created by the students themselves – handmade bead jewelry, framed photography, music mixes, or even services (3 days of snow shoveling or babysitting?).

When: November to January

Time Commitment: A few hours each month –you determine your level of involvement. May involve email, Facebook, and telephone contact.

Reservation Sales

Responsibilities: Reservation sales must be solicited and tracked with Pioneer families, alumni, and VIPs. Mailing and periodic reminders to the families, and working with PBA Treasurer to track tickets sold and revenue.

When: November to Early-February

Time Commitment: A few hours each month – November, December, January, and early February.

Publicity

Responsibilities: Promoting the event to the community contacting area newspapers and radio stations, as well as “viral” methods of spreading the word, like Facebook and emails.

When: November to late January

Time Commitment: You determine level of involvement. May involve email and telephone contact.

Basket Committee

Responsibilities: Putting together baskets, displays, and packages for auction. Creativity is a plus.

When: Mid-January to Early-February

Time Commitment: 2-3 evenings or weekend afternoons prior to the event

Decorations and Day-of Support

The following volunteer opportunities are available the day of the event:

  1. Transportation: Transport baskets from collection location to hotel (early afternoon – 1-1_ hours commitment)
  2. Decorating and Set-Up: Involves setting up auction tables, displays and decorations (2-2_ hours commitment)
  3. Check-In: Check-in event attendees and distribute programs and bidder numbers (2 shifts, 1 hour each)
  4. Silent Auction Volunteers: Monitor silent auction tables during auctions, record winning bids, and assist winning bidders in collecting items. (4 shifts, 1 hour each)
  5. Live Auction Recorders: record winning live auction bids as directed by auctioneer (1_ hours time commitment)
  6. Check-Out: Collect payment for auction purchases (3 shifts, 1 hour each)
  7. Clean-Up: Take down and put away decorations (approx 1 hour post-event time commitment)
